To set up domain-wide email signatures for Google Apps (now Google Workspace), it is important to know that Policy Patrol (originally a standalone tool by Red Earth Software) no longer natively syncs as a direct gateway for cloud-hosted Google Apps.
Instead, organizations manage signatures natively via the Google Admin Console or through advanced, cloud-first third-party tools like Patronum or CodeTwo.
The primary methods to set up signature policies for Google Workspace are detailed below.
Option 1: Native Google Workspace Method (Append Footer Policy)
This built-in method automatically appends a corporate signature or disclaimer to all outbound emails. It is applied globally or by Department (Organizational Unit), and end-users cannot remove or edit it.
Access Settings: Sign in to the Google Admin Console using an administrator account.
Navigate to Compliance: Go to Menu > Apps > Google Workspace > Gmail > Compliance.
Configure Footer: Scroll down to the Append footer section, hover over it, and click Configure (or Add another rule).
Build Signature: Enter a unique description for the policy. In the text box, paste your corporate signature text or basic HTML.
Save Changes: Click Save at the bottom of the page to push the policy live. Option 2: Third-Party Automation Method (e.g., Patronum)
If you require dynamic signatures that automatically populate user data (such as names, job titles, and phone numbers) from the Google Directory, you must use a Google Workspace Marketplace application.
Install App: Add an automation tool like Patronum to your domain from the Google Workspace Marketplace.
Create Signature Policy: Navigate to the Policies menu inside the app dashboard and click Add Policy.
Target Users: Use filters or organizational unit conditions to choose which users or departments receive this specific signature.
Design Template: Go to the Signature tab. Use variables like {display_name} or {title} to pull live data dynamically from Google profiles.
Publish: Save the policy to push the HTML signature directly into the Gmail settings of all targeted employees.
